What "fully staffed" really means

Two villas can both be described as fully staffed and offer completely different stays.

At the first, two housekeepers arrive for a few hours each morning, make the beds, clean the bathrooms and leave by lunchtime. For a family of twelve, that means the guests are doing their own laundry, clearing up after lunch and resetting the house each evening themselves. Looking after a full house properly takes several housekeepers working through the day, with laundry, ironing and turndown as part of the service. At the second, a villa manager greets the family on arrival, a private chef plans the menus around everyone's preferences, butlers and servers look after meals and drinks, and a housekeeping team keeps the house in order from morning to night. Both listings use the same two words. Only one of them delivers the stay most families have in mind.

"Fully staffed" is one of the most widely used phrases in luxury accommodation, and one of the least precise. Some listings count gardeners, pool technicians and night security, who rarely see the guests. Others mean a chef is available, without saying the food and the chef's assistant are charged separately. The phrase tells you very little until you know who is actually on the team.

What a full team can look like

For a large family or group, a well-staffed villa or estate might include:

  • A villa manager, who runs the house and is the single point of contact for the stay
  • A private chef, often with a sous chef or kitchen assistant for larger groups
  • Butlers and servers for meals, drinks and the day-to-day needs of the guests
  • A housekeeping team, with daily service and turndown in the evening
  • Laundry service
  • A driver
  • Security, where privacy is a priority
  • A nanny or childcare on request

Not every stay needs every role. A couple in a city apartment needs something very different from three generations in a twelve-bedroom estate. What matters is that the team matches the group, the length of the stay and the level of service the client expects.

The questions we ask

Before we present a property, we look past the description to the team itself:

  • Who is on the team, and what does each person do?
  • What hours do they work, and which days are they off?
  • How many staff are there for the number of guests?
  • What is included in the rate, and what is charged separately?
  • Is the food billed at cost, and how are menus and dietary needs handled?
  • Do the staff live on site, or arrive each morning?
  • How long has the team worked together?

The answers often make the difference between two properties that look identical on paper.

When a villa manager is non-negotiable

For some stays, a villa manager is non-negotiable. A large family across three generations, a group with high-profile guests, a celebration with additional guests arriving for dinner, or simply a client who expects everything to run without being asked: in each of these, one experienced person on site who coordinates the team and the stay is essential.

A villa manager knows the house, directs the staff, handles requests before they become problems and is the person who answers when something is needed late at night. Without one, those questions fall to the guests themselves, or to the person who booked the stay.

We also look for an established team that already works together. A group of staff assembled for one booking, in a house they do not know, rarely delivers the same standard. When a property cannot offer the level of service a stay requires, the right answer is sometimes a different property, or even a different destination.

Why it matters

The best stays are the ones where no one has to think about the service at all. The family arrives, the house is ready, meals appear at the right time and every detail is quietly taken care of. That is what fully staffed should mean, and it is what we look for in every property we present.
